| Corporate event organizers have to possess a thorough knowledge of public relations, the hotel and catering industry, entertainment and public and private transport. On top of that, they must be accountants, business people and very competitive in nature. No, the corporate event organizer domain is not for everybody. You need to be a very special type of person to juggle all the priorities without dropping a ball. And there is a lot of competition in the marketplace.
Event organizing is a service industry and everything needs to be right first time, every time. Mistakes are not tolerated and unhappy clients do not return. There need to be a best practices policy in the organisation, arrangements must be checked and double-checked and contingency planning is a given.
A corporate event organizer planning a teambuilding event on a game lodge will need to do a lot of homework. Firstly, the client must be given more than one option to choose from. Every lodge’s facilities are different, their room layouts differ, their wildlife differ and their prices differ. The event organizer must have all this information at hand, or must obtain it very quickly.
What is the client’s requirements? How many people will attend the event? Will they sleep over? Will there be children? Which activities must be arranged for the adults and what will the children be kept busy with? Are there child-minding facilities or will that have to be arranged? Is there a game viewing drive and will it be during the day or at night?
Activities must be arranged in conjunction with the lodge staff and contracted-in staff, as necessary. Catering must be arranged, with due consideration for special dietary requirements. Transport to and from the venue must be arranged. A person with medical knowledge must be at hand, tour guides must be arranged and payment must be done in advance.
These aspects only scratch the surface of the vast minefield of micro-management corporate event organizers should be capable of.
